How to choose a home care agency in the GTA

Twelve pointed questions that reveal how a home care agency really operates — screening, backups, guarantees, pricing — plus the red flags worth walking away from.

There are hundreds of home care providers in the Greater Toronto Area, and from the outside they all sound identical: "compassionate," "trusted," "professional." The differences that actually matter live in the details — and you only find them by asking pointed questions. Here are the twelve we'd ask before letting anyone care for our own parents.

Screening and quality

1. How exactly do you screen caregivers?

The answer should be specific and complete: certificate verification from a recognized PSW program, a vulnerable-sector police check (not just a basic record check), reference checks, and a personal interview. Vague answers ("all our staff are fully vetted!") are a red flag.

2. Are you a managed service or a list of names?

Some providers simply connect you with caregivers and step back — you manage everything. A managed service builds the care plan, handles scheduling, supervises quality, and stays accountable. Neither is wrong, but know which one you're buying.

3. Who supervises the care after it starts?

Good care needs check-ins, not just placements. Ask how often someone reviews the care plan and how family feedback gets acted on.

4. Can I see credentials and screening documentation?

You're entitled to proof, not promises. A professional agency can show documentation on request.

Reliability and consistency

5. What happens when the caregiver is sick?

The honest answer involves a named backup — a specific person your family has met or at least been told about — not "we'll send someone." A stranger at the door defeats the purpose.

6. Will we get the same caregiver every visit?

Consistency is most of the value of home care — especially in dementia care, where familiar faces reduce anxiety. Ask what percentage of visits are covered by the primary caregiver, and whether consistency is promised in writing.

7. What if the caregiver isn't a good fit?

The answer you want: fast re-matching at no extra cost, no defensiveness.

8. What are your response times — really?

"We're very responsive" is not an answer. "Every inquiry within 24 hours; calls returned within two hours by a named contact" is an answer.

Fit and communication

9. Can you match my loved one's language and culture?

In the GTA this should be a core capability, not an afterthought. As dementia progresses, many people return to their first language — a caregiver who speaks it can keep connecting when others can't. Listen for honesty here too: a good agency will tell you when they don't have the right match yet, and what they'll do about it.

10. How is pricing communicated?

Exact rate, in writing, before care begins — with overnight, weekend, and holiday premiums spelled out. Anything less invites surprises. (Our Ontario home care cost guide covers typical 2026 rates.)

11. Who do I call when something goes wrong?

You want one named human who knows your file — not a call centre, not "whoever picks up." Bonus points if there's a clear escalation path to someone senior.

12. What do you guarantee in writing?

Marketing says "compassionate care." Contracts say "a missed visit without notice is credited." Ask what's actually guaranteed on paper — reliability, consistency, response times — and what happens when a guarantee is broken.

Red flags worth walking away from

  • Won't explain screening, or "screening" means a resume review.
  • Can't or won't put rates in writing before care begins.
  • No answer for who covers a sick day.
  • Pressure to sign long-term commitments before you've met a caregiver.
  • Every answer is superlatives, none is specifics.

Use it like a checklist

Take these twelve questions to two or three agencies and compare the specificity of the answers. The right provider won't be annoyed by the interrogation — they'll be delighted someone finally asked. We're happy to answer all twelve, starting with a free assessment or a phone call to (437) 422-6855.

Frequently asked questions

If you only ask one: "What happens when the caregiver is sick?" The answer reveals everything about how the agency really operates — reliability planning, backup coverage, and honesty. Listen for a named backup, not "we'll send someone."

What matters most to your family is accountability: who screens, supervises, schedules, and answers when something goes wrong. Ask whether you're buying a managed service or a list of names, and choose what fits your family's capacity to manage care.

Compare what's included, not just the hourly rate: assessment fees, travel charges, weekend premiums, minimum hours, and what happens financially when a visit is missed. The cheapest rate with hidden gaps often costs more.
